Finding the "Best" Productivity Tools: Email, Memo and Tasks for me,
my criteria is simple, minimalist interface, rich features, freeware (or LOW cost) and integration with other apps....
After getting inspired watching this guy, Geet Duggal and based on his reviews / insight and seeing how I was using (in an unproductive way) 5 apps: Google Keep, GTasks, Basecamp, Gmail and Outlook to achieve productivity that probably could be done by only 3 apps....Ahh a lofty goal it is..to replace my gmail/Keep and integrate basecamp/GTasks with "new" apps....
I trekked into app hell (6 hours of it) to find solutions that are akin to the tools Geet Druggal describes yet I found that replacing email was possible / integrating was not....Task replacement for basecamp is a distant wish for me.... Some apps just don't work they way U wish...And because I insist on (have to) using basecamp, the slew of Task Management apps out there, just wont synch basecamp todo's....I think basecamp will be gone in 2 years anyway.....Apps like Slack, todoist ect are taking over the PM space....and are slicker....
Any way, for me this is my current list:
Winners
Taskshttps://tacoapp.com/tasks
WebApp
Free, clean UI, super fast, portable, and does its job well
Bring together my personal and work task manager
Google tasks
Reminders goto calendar!
BaseCamp
Best clean tool to manage tasks, complete, annotate and work on tasks
To Edit Tasks Click the task to go to source
One View, use on Windows and Android
Email Clienthttps://cloudmagic.com/
Android
Best Android email client out there, use it to replace outlook and gmail, features I love:
Search all inboxes, fast search
Show ALL messges at once,
Notify when U get email from ANY account
Manage all email accoutns in one place
Create a calendar from email!
Create a task from email!
Note Memo
https://www.evernote.com
I tried using Keep, but the inability to create Tasks and the inability to SEARCH notes combined with Evernote does all and more...it is just plain awesome, WOW..
See this guys explains it best, notebooks, searching, use this to replace notes, and even documents!
Reminders goto calendar!
Integration
https://ifttt.com/recipes/392333-basecamp-new-to-do-to-todoist
Free easy to use integrations
limited services but easy to create
better than 20$ per month zapier
Create some cool integrations like "Send me an email when it rains"
The Losers for me
https://ticktick.com/
Could not import GTasks or basecamp
Too much, not auto import/synch with other tools
Zapier.com
Expensive
ALLOT of integrations, best for business
, ridiculous expensive, suited for business
https://todoist.com/a
Cool features but the inability to import so I could see my old tasks without paying premium is a pain,
This tool wants to replace basecamp,
https://todoist.com/gmail is really cool though
FREE : limits on # tasks
Premium allows import, no limits? 28.99 / year
Does not allow easy import of basecamp or GTasks
Android App looks like email? I dont like that.
Sync sync was added (2015/06/07) but has since been removed because it didn't actually work and did some major damage to your tasklist and calendar in the process. No news on when a working version will be released.
Android app: Yes
Web interface: Good
Import: not natively, but todo port seems to fit the bill
https://www.taskclone.com/
Evernote integration, however the GTasks integration U gotta pay zapier!
MUST READ! TaskClone sends tasks via email, but Google Tasks does not accept tasks via email.
Fortunately, you can use the Zapier.com service to automatically convert our emails to tasks in Google Tasks.
splendo
a bland version of TickTick
No import calendar
Others I tried...
Any.do
Toodledo
Trello
Workato

GMail, Email Clients, Cloud Tools, Google Keep / Text Editors and Finding the best experiences for Android and Windows:: Musings of a Remote Developer
GMail, Email Clients, Cloud Tools, Google Keep / Text Editors and Finding the best experiences for Android and Windows:: Musings of a Remote Developer
Here is a list of some issues and resolutions I came across the past few days, especially as related to remote work,
1. GMail Conversation Read most recent first
Fix
by turning Conversation View OFF: See Here:
http://www.techrepublic.com/blog/google-in-the-enterprise/quick-tip-change-the-conversation-view-in-gmail/
2. GTasks change accounts:
3
Ways I found
1.
Get Google Tasks App from Extension Store, then U can specify the Google
Account (kind of a hack)
2.
Hack: I think the easiest way in Chrome is to open an Incognito Window (via the
"three-lines" button top right), and log in to the other account in
that window.
This
sucks bcuz incognito tab cant mix with normal tabs (uggh)
3.
BEST way I found, USE Taco, then u can synch tasks across multiple platforms,
so I started out with 1 problem and found a big solution to that and many other
task related stuff, now I just use Taco!
Get
it hire: https://tacoapp.com/tasks
3. Google Keep Tips and Hacks:
Searching
text in Keep?
Google
Keep search text and highlight found word
Use
Chrome Ctrl-F, open Keep in https://keep.google.com/ then Open a note then Ctrl
- F (it doesn’t work in offline though)
Download
voice recordings: Open Keep in a desktop browser, click a note, mouse over the
voice recording and click “Download”.
Use
Google Keep as a shared clipboard. Copy text or a link into a note on your PC,
open it on your Android phone.
You
don’t want Google Keep as a separate tab in your browser, there is a quick fix.
You can turn Keep into its own Panel with an extension. download Panel View for
Keep
Keyboard
Shortcuts! -> http://googlesystem.blogspot.in/2013/07/google-keep-tips.html
22.
Keyboard shortcuts:
j/k
- navigate to the next/previous note
n/p
- same as j/k, but also useful for navigating between list items
c
- compose a new note
/
- use the search feature
e
- archive selected note
#
- delete selected note
o
- open selected note
Enter
- edit selected note
Ctrl+g
- toggle between list and grid view
Esc
- finish editing a note.
4. Outlook Sent Item missing :
When replying in Outlook for
GMail Account that is linked to Office 365, then Sent Item is gone, this became
a driver for me to re-org my Windows and Android Email Clients, instead of
using Outlook and Gmail for everything with Pop3/SMTP Accounts, I decided to have Gmail manage Google email /
Outlook manage Off365 on Android and use Outlook Accounts on Windows, This also
led me to CloudMagic, Im trying out now….
Instead
of trying to wrangle the Gmail Account to work when in Outlook, I used for :
Windows
Use
Outlook for Gmail/Office 365 as separate Accounts n Outlook
Andorid:
Gmail
and Outlook apps
